How you should Setup Two-factor Authentication to Secure HubSpot Login?

HubSpot is always determined to provide you with a secure environment to work and build your business. Similarly, logging into HubSpot also needs a secure and authenticated environment.

By default, HubSpot login requires only a username and password. Enabling two-factor authentication allows you to add another verification step to complete the login process.

Enabling two-factor authentication or 2FA, you can verify your identity using a secondary device like a mobile phone. 2FA verification can be done through an authenticator app or an SMS text message. Using third-party authenticators like Google authenticator, Microsoft authenticator, duo, etc. are also available options.

1. How to Turn on Two-factor Authentication for your HubSpot Login?

To set up 2FA verification in HubSpot, follow the steps guided below.

Click the Settings icon in the main navigation bar of your HubSpot account.
Click Security.
In the Two-factor authentication section, click Set up two-factor authentication (2FA).

If using a third-party authenticator or text message code to login, select the corresponding option and follow the aforementioned instructions else if you’re using an iOS device for 2FA authentication, select HubSpot mobile app:
- To install the app, scan the QR code to download the latest version app.
- On your device, you’ll finish setting up 2FA:
  - You’ll be prompted with a notification to continue 2FA setup. Tap the notification to proceed.
  - Tap Continue.
  - Tap Confirm.

Tap Done.

Back in HubSpot, click Next.
Update your 2FA verification frequency preferences:
- Click Remember me to avoid being asked for 2FA authentication for a short period of time.
- Click Ask for 2FA every time to force 2FA confirmation on your device every time you log in.

As a last step of the HubSpot login 2FA setup process, you’ll be provided with 10 backup verification codes. These codes can be used in case you lose your 2FA device. Save your codes by clicking Print or Download (PDF).

2. How to Setup a Secondary Method for 2FA HubSpot Login?

Click Set-up secondary method.
Click Next.
Open the Google Authenticator app on your device and scan the QR code.
You will receive a 6-digit verification code on your mobile.
Click next.
Enter the 6-digit verification code that you received.
Click Next.
Click Done.

3. Require Two-factor Authentication for All Users

Click the Settings icon in the main navigation bar in your HubSpot account.
Go to Account Defaults in the left sidebar menu.
Go to the General tab > Security section, click the toggle Require Two-Factor Authentication (2FA) switch on.

In the dialog box, click Yes.

This HubSpot user permissions guide helps you to understand the role of allowing HubSpot users to add & edit user permissions for new and existing users in your HubSpot account. Also, considering the HubSpot user permissions, you need to know when to allow complete access and when to restrict the permissions for your HubSpot users.

1. HubSpot CRM User Permissions

To set permissions for CRM objects and tools, follow the steps below:

1.1. Object Access

To customize HubSpot user permissions like view, edit, or communicate for the object records; you can determine from the following permissions for Contacts & companies, Deals, Tickets, Tasks, and Custom Objects:

1.1.1. View

Click the dropdown menu to control the set of contacts, companies, tickets, tasks, and custom objects the user can view.
Users with View: Owned only permissions will only see their assigned contacts on the contacts home, in the lists tool, and in reports.
Users without edit and/or communicate permissions can only add notes or tasks to object records.

1.1.2. Edit

Click the dropdown menu to control the set of contacts, companies, deals, tickets, tasks, and custom objects the user can edit.
The options are Everything, Team only, Owned only, and None.
When selecting Team only or Owned only, select the Unassigned checkbox to allow the user to edit unassigned records.

1.1.3. Delete

Click the dropdown menu to control the set of contacts, companies, deals, tickets, and custom objects the user can delete.
The options are Everything, Team only, Owned only, and None.
When selecting Team only or Owned only, select the Unassigned checkbox to allow the user to delete unassigned records.

1.1.4. Communicate

Click the dropdown menu to control the set of contacts and companies the user can email, call, or schedule a meeting with.
The options are Everything, Team only, Owned only, and None.
When selecting Team only or Owned only, select the Unassigned checkbox to allow the user to communicate with unassigned contacts and companies.

Please Note: This only applies to CRM emails, not marketing emails.

1.2. CRM Tools

Customize access to bulk actions, property settings, and the workflows tool.

1.2.1. Workflows

Select the checkboxes to grant the user Delete, Edit, or View access to the workflows tool.
To grant a user Delete access, they must be granted Edit access.

1.2.2. Bulk Delete

Toggle the switch on to grant the user the ability to bulk delete contacts, companies, deals, tickets, and tasks. This would allow the user to delete contacts from within a list or dashboard, for example.
Users without this permission can still delete contacts, companies, deals, tickets, and tasks from individual records if they have the Edit permission for Contacts Access.

1.2.3. Import

Toggle the switch on to grant the user the ability to import contacts, companies, and deals into your HubSpot account.

1.2.4. Export

toggle the switch on to grant the user the ability to export contacts, companies, deals, and reporting data from your HubSpot account.

1.2.5. Edit Property Settings

Toggle the switch on to grant the user the ability to create and edit properties, edit record sidebars and board cards, edit deal pipelines and stages, and access the lead scoring tool.

How to Create HubSpot Subscription Workflow to Manage Your Contacts?

To create HubSpot Subscription Workflow, you can either do it by using the links in the footer of your marketing emails, or contacts can manage their email preferences. Or, you can also send them a link to manage email preferences.

1. HubSpot Subscription Workflows: How to Add Subscriptions to Individual Contacts?

When GDPR functionality is enabled, add subscriptions manually for an individual contact:

Go to Contacts > Contacts and select the name of a contact.
Click Add Subscriptions in the left panel of the Communication Subscriptions section.
Click the dropdown Communication subscription types, then select a subscription type.
Select a legal basis for communicating.
Enter the explanation for communication consent. Additionally, you’ll also need to add a lawful basis to process to track and store the contact’s details in your database.
Click Save.

2. HubSpot Subscription Workflows: How to Add Subscriptions in Bulk?

You can also opt-in contacts into a subscription type in bulk. You can also remove an opt-out of all email status that was added manually by a user in your HubSpot account.

Go to Contacts > Contacts.
Select the checkboxes next to the records to select multiple records.
Click the dropdown More, then select Add communication subscription for contact.
Add required options based on whether GDPR is enabled or disabled.

Click Save.

3. Opt for a Contact Out of a HubSpot Subscription Workflow

If GDPR functionality is disabled in your account, you will be able to send marketing emails to contacts without explicit opt-in from them. HubSpot will track when a contact opts out from your mailing list, but you can also opt a contact out manually or opt out of a list of contacts through an import.

Steps on how to troubleshoot your HubSpot for WooCommerce syncing issues?

Go to your WordPress dashboard and navigate to Tools > Scheduled Actions.

Click on the Pending option on the top and check if these hooks are being displayed there:

Hubwoo_cron_schedule
Hubwoo_deals_sync_check
hubwoo_products_sync_check

If you don’t see these actions there, navigate to WooCommerce > Status and click on the Scheduled Actions tab there.

Click on it and go to the Pending section under it. You may see the above 3 hooks there. If you don’t, there must be a problem with the syncing issue. You can contact our support team to get it resolved.

Check if the recurrence time of these hooks is set to 5 minutes. If not, re-install the plugin and it will be resolved. If it persists, connect with our support team.

How to revert back the wrong linked HubSpot account?

If you’ve connected the wrong HubSpot account (or portal) with our HubSpot WooCommerce integration, you can revert it in a few simple steps:

Go to the plugin’s dashboard and click on the Disconnect Store button over there.
Then click on Confirm and Disconnect and your HubSpot portal will be disconnected from the plugin. (If you want to erase all the data from the plugin you’ve synced from the wrong HubSpot account, click on the checkbox)

Now click on the Connect Your Account button on the plugin to connect to the portal you like.
Select the portal you want to connect to and click on Choose Account button.

Your HubSpot account will now be successfully connected. You can follow the rest of the steps to set up the plugin completely.
